Minutes of the Committee Meeting held on Tuesday 13th November 2007 in the village
hall

1107.02 Minutes: Minutes of the meeting held on 11th September
were agreed, with a small amendment, and signed.
1107.03 Matters arising: 1 Electricity/heating: It was agreed not
to change to oil because of cost and problems with siting of the tank. The boiler
has been serviced. It is fine for a few more years and would service another radiator.
This could fit at the end of the hall. Mike Ba will
do the fitting. We must not
overload our electricity system by putting extra heaters on all at one time. We
could tape over 2 switches to prevent them being put on.
2 Community Council of Devon: This will cost £18 per year. We have joined and will
start paying in April.
3 Community calendar for social events: Margie and Anne had worked on a list to
improve information dissemination for hall events. The ideas were discussed and
it was agreed that each organisation should take responsibility for their own advertising,
to include Parish Link, posters and Holybrook Exchange. Margie will get a wipe clean
monthly calendar board to put up in the hall.
1107.04 Correspondence: CCD correspondence. Mike Bo will write to them
and ‘opt in’ for attending their meetings.
1107.05 Book-keeper’s report: Up to date accounts were tabled,
showing healthy accounts. We had received 2 letters
re rising gas costs. As the
figures quoted were very different, our supplier has agreed to supply us at the
lower rate of a 4.3% rise (not 12.7%). We have received an electricity rebate from
EDF of £293.60. Gill G stated that as a charity it is recommeneded that organisations
earmark some of their funds for future projects, especially when they have very
healthy balances. Mike Bo will get a survey of what maintenance needs doing, including
decorating internally and will then seek quotes for the work. Ann asked how the
Community Group could get help with funds. She was advised to put a request to the
Fete Committee.
1107.06 Parish Council Report: 1 The new clerk is Yvonne Fairman.
She will take up her post in December when Joanna Radford retires.
2 Affordable Housing: The survey forms have all been delivered to homes in Holne
and Buckfastleigh West Parishes.
3 Concerns about the development at Hazelwood have been high on the agenda.
1107.07 Booking Clerk’s report: Margie had not been informed that
the Toddler Group had closed. She will put an advert in the Parish Link and Gill
S will put it on the Holybrook Exchange.
1107.08 Representative’s reports: Coffee: Numbers fluctuate. Whist: Going fine. Anne
will check if any of the tables need recovering.
Bowls: Due to
poor attendance, it had been decided to have it fortnightly instead of weekly, until
the end of the year, and then review the situation. Community Group: After January,
they will meet on the 2nd Wednesday of the month, with the Garden Group meeting
every 3rd Wednesday to avoid a clash with Ashburton gardening group. On 19th December,
there will be carols round the Christmas tree in aid of Air Ambulance, followed
by a share supper and games in the hall.
1107.9 Christmas Fair: Mike Bo has got paintings to auction. Corynne
will organise the Christmas wreathes. Raffle prizes are needed. Stalls: Christmas
and gifts: Georgina, Gill C Produce: Maggi, Marion Plants: Judy Henderson Teas/mulled
wine: Margie. Barbara Fluffy toy: Belinda Door: Mike Ba Auction: Mike Bo Cards:
Rosemary Raffle: Gill G and others Gill S: mince pies Josh Barkas will run a Christmas
fund-raising stall with a percentage going to him, towards his India trip fundraising.
1107.10 Key holders: It was agreed that Marj would share the key with Yvonne Fairman
as new clerk to HPC.
1107.11 AOB: 1 New garden representative: next agenda
2 The emergency lighting system, cupboard light, one hall light and the carpark
light are not working. Mike Ba to fix. The notice board in the carpark needs replacing.
