Minutes of the Committee Meeting held on Tuesday 8th January 2007 in the village hall
Present: M Barkas, M Bonney (Chairman), K Evans, M Powell, M Rees, G Simpson 0108.01 Apologies: R Bonney, G Gray
0108.02 Minutes: Minutes of the meeting held on 13th November were agreed, adding Brenda Best as attending, and signed.
0108.03 Matters arising:
1 Electricity/heating: DCM Electrics have not yet sent a bill for the boiler service. Mike Ba was thanked for fitting the new radiator so quickly. Our gas costs are guaranteed until 31st March at a good price. We need to ensure we order before the price rises. We are still working through our electricity overspend payment.
2 Community calendar for social events: This is now up and running, with a whiteboard area for comments.
3 Maintenance survey/jobs: Mike Bo is arranging for someone to come and look at the hall. Mike Ba has done the electric jobs. 0108.04 Correspondence: The Charity Return had been received and was completed during the meeting for sending off.
0108.05 Book-keeper’s report: Up to date accounts were tabled. Payments had been made for the new radiator and tables, depleting our current account balance. It was agreed to transfer £500 from the CAF account. We need to organise new signatores for this account.
0108.06 Parish Council Report:
1 Affordable Housing: We are still awaiting the results of the Housing Survey.
2 Hazelwood: The council recommended refusal for the new planning application,
for a variety of reasons.
3 Conservation Area Appraisal: A sub-committee had been set up to study this
document and make comments, before the next PC meeting.
0108.07 Booking Clerk’s Report: Margie has created a new booking form. Due to rising fuel costs, heating the hall has become more expensive. It was agreed to discuss future hire charges at the next meeting. The new children’s drama group, run by Katie Troake, is doing very well and numbers are growing.
0108.08 Representative’s reports: Coffee mornings: Numbers are a little thin. Bowls: This group has closed for the time being due to lack of numbers. An advert is to go on the Holybrook Exchange
Community group: In the absence of the representative, no report was given.
0108.09 Christmas Fair: Mike Bo will be sending out thank you letters, but has already managed to give some people personal thanks. It was a very enjoyable afternoon, with £1025.26 shared equally between the hall and the church.
0108.10 Plant Sale: This will be held on Saturday 17th May.
0108.11 Garden Club representative and Vice Chairman: Maggi will ask at the coffee mornings whether anyone from the Garden Club would become a rep. The position of Vice Chairman will be discussed at the AGM.
0108.12 Holne Discussion Group: As Anne Crutchley was absent, this item will be discussed at the next meeting.
0108.13 CVS: When we wanted to hire equipment last autumn, it was found that our subscription had elapsed. CVS agreed it was their systems at fault and a reminder had not been sent. As we have not really used them, it was agreed to wait for ‘a need’ and join then. The equipment we wanted to hire was the digital projector. The insurance for this is high and we are not covered by our hall insurance. It was agreed that we would see if other halls had power point equipment that we could share, or would be interested in a ‘joint purchase’. Gill S to put on Holybrook Exchange.
0108.14 Toddler Group: Margie will put an advert in the Parish Link, to see if anyone would be interested in starting the group up again, now that we have more babies in the area. Gill has put an advert on the Holybrook Exchange. It was agreed that the toys and equipment belonged to our hall and should not be lent to Christow Toddler Group.
0108.15 AOB: 1 Car Park sign: This is looking very tatty. Keith will speak to Mike Cunniam about where to get a new one. 2 Insurance: Our policy does not cover us for the loss of £4000 annual income if the hall was destroyed. We need to increase our cover for the next 5 months until our existing policy is due on 1st June. Keith will get quotes from other insurers, to include updated rebuild costs. Mike Ba will see if he can get a new rebuild valuation.
