Minutes of the Committee Meeting held on Tuesday 11th March 2008 in the village hall

0308.01 Apologies: M Barkas, B Owen, M Powell

0308.02 Minutes: Minutes of the meeting held on 8th January were agreed and signed.

 0308.03 Matters arising: 1 Maintenance survey/jobs: Kevin Obbard did a survey for work needed, commenting on the damp that he thought was coming from the chimney. He has quoted for fitting a false ceiling which should help with keeping the hall warmer. Mike will ask Brenda for the name of her builder to get a second quote. We will have to look at the timing of this work, in order to minimise disruption to hirings. 2 Digital projector: Scoriton Village Hall are not able to share a joint purchase. 3 Toddler group: An advert is to go out after Easter. 4 Car park sign: Mike Bo will contact DNPA about the work needed.

0308.04 Correspondence: 1 Quote from Kevin Obbard 2 Tone Leisure SH Ltd: Mike Bo has sent off their questionnaire. 3 Village Green 4 CCD Access project: Various events are advertised. Gill S is going for SVH and will also represent HVH. 5 Devon Association of Community Buildings. 6 Charity Commission Publications

0308.05 Book-keeper’s report: The committee acknowledged their grateful thanks to Mike and Gill Cunniam who have raised £150.50 by selling books from their home. Up to date accounts were tabled. Because of the future rise in gas and electricity prices, it was queried whether this cost should be passed on to the hirers. Gill S proposed that this be discussed at the AGM when a decision would also be made about hire charges. CAF account: Correspondence will go to Keith Evans and he will forward his address. Mike Bo and Gill S agreed to be the new signatores (Margie already is one). The committee were all in agreement and a copy of this minute needs to be sent with the completed forms and proof of identity.

0308.06 Parish Council Report: 1 Affordable Housing: There is to be a Public Meeting on 18th March, when the results of the Housing Needs Surveys for HPC and BWPC will be presented.

2 A meeting had been held between HPC and DNPA to discuss planning issues at Hazelwood/Catkin Cottage and the work being carried out at Venford Reservoir. 3 An open evening will be held towards the end of April for Holne Parishioners to be able to see details of the proposed Conservation Plan.

0308.07 Booking Clerk’s Report: no report

0308.08 Representative’s reports: Community group: Many successful and enjoyable evenings held with more to follow. Good attendance. Whist: Going well. Coffee mornings: Attendance varies but still going well. Garden group: Maggi will mention to the group again about providing a rep.

0308.09 Heating/boiler: The boiler had a new thermo-coupler installed. The repair man considers it is coming to the end of its lifespan. It may have to be replaced. Mike Ba to be asked for his thoughts. To be discussed at the next meeting. It was felt that we need a caretaker, who perhaps could deal with ordering and checking the gas bottles amongst other jobs. Gill S to talk to Scoriton about their caretaker.

0308.10 Display stands: Rosemary will research the cost of display stands.

0308.11 Hire charges: to be discussed at the next meeting.

0308.12 Plant sale: Saturday 17th May. Rosemary will put it on the Holybrook Exchange. Gill S will put it in the Parish Link and HPC website and make some posters. Apart from plants, there will be a produce stall (Brenda to run and she will ask Bridget). Maggi will ask for help and plants at the coffee mornings. Both Gills tended their apologies.

0308.13 Garden club rep: see above

0308.14 Holne discussion group: Anne had discussed with Ru Roberts about expanding the group. As it was not intended that they use the hall, it was felt not necessary to discuss it further.

0308.15 AOB: Keys: Karen Gilbert, the new clerk to HPC, will be given the spare key to the hall. Meeting closed at 9.30pm
