Holne Village Hall Management Committee

Minutes of the meeting held on Tuesday 13 th January 2009

at 8pm in the village hall

2 Minutes

The minutes of the previous meeting held on 11 th November 2009 were agreed and signed.

3 Matters arising

1 Hall decoration: Mike is waiting for Leyton to return his phone call re the final bits of decoration.

Boiler: GlowWorm have been out under the guarantee and have adjusted the pump and the by-pass. The whole system was checked and the following was reported: in the loft, there is a slight leak from the expansion pipe which has moved and is not sitting over the tank. The whole heating system needs flushing and inhibitor added. We are losing too much heat because of the hall design and the height of the roof space. Tin foil insulation could be layed on the ceiling with boards fitted over to keep it in place. Double glazing could also help. Mike Ba will flush the system, look at the expansion pipe and cost the insulation job. Mike Bo will contact DNP to discuss grants and windows. Gill will contact Gill Gray re grants and what info. is needed to apply.

The new programmer fitted by DCM is not fit for purpose. Mike Bo will contact DCM to fit a replacement.

Rebuild costs: It would appear that we are adequately covered by insurance.

Calor gas: Safety info. had been received and it appears that twin-cylinder systems can have problems. Richard Parker(DCM) put a new fitting on the cylinders about 2 years ago. Mike Ba will check the calor gas levels every 2 weeks and check the fittings. When RP does the boiler service, he will be asked to service the cylinder fitting. Margie to put in diary for August as a reminder. Margie will also organise a safety inspection. It was agreed that we should fit carbon monoxide detectors. Keith to source and buy.

PAT testing: Gill to contact Clive Mason re doing our testing when he does Scoriton Village Hall.

Flourescent lights: 6 are not working. Mike Ba to check them.

2 Disabled parking bay: The disabled parking bay was discussed again. Following a vote, it was agreed not to go ahead. Gill will see if CCD provide ‘nosing tape' for the emergency exit steps.

Chairs: Margie will source 2 chairs with arms and cushions for the hall seats.

3 DACB website: A photograph was chosen for the home page and Gill will enter our details on the website.

5 Book-keeper's report

The monthly financial statement was explained. £200 had been received from the Holne and Scoriton Youth Group which no longer exists. Concerns were expressed as to whether this money was ring fenced and whether the account still existed. Gill to contact Helen Ireland.

Toddler group: Margie will ask the ex-account holder about whether the account is active.

6 Parish Council Report

1 Venford Dam's closure is extended to February 7 th .

2 The new Clerk, Suzanna Hughes, started on January 1 st .

7 Booking Clerk's report

Margie apologised to all hirers for the recent lack of heating.

8 Representatives' reports

Gardeninggroup: The group is flourishing and they had an excellent Christmas meal at the Church House Inn.

Coffee mornings: Numbers are down. After a discussion, it was agreed to transfer meetings to Judy Forbes-Wood's home for the winter.

Community group: Doing well. After a January break, Dartmoor Pony Training will be speaking in February, with Mrs Tiggy Winkle in April.

Whist: No report.

PCC: no recent meeting.

9 Succession planning and membership

Members identified people they will approach personally to join the committee. Gill will send an advert to the Parish Link and put a notice on the hall board.

Mike wishes to stand down as Chairman. No-one volunteered to take over. A long discussion ensued about the future running of the committee, ensuring that everyone played an equal part.

To be discussed at the next meeting.

10 Christmas Fair

It was a very successful day, with a profit of £732.84 shared between the hall and the Church.

11 Dates for future events

Committee meetings: 10 th March, 12 th May (with AGM), 14 th July, 8 th September, 10 th November

Plant sale: Saturday 30 th May

Christmas Fair: Saturday 5 th December

Gill will send these dates to the Parish Link and put a list on the hall notice board.
