Holne Village Hall Management Committee

Minutes of the meeting held on Tuesday 9th March 2010 at 7.30pm in the Village Hall

Minutes
The minutes of the previous meeting held on the 19th January 2010 were agreed and signed.

Matters Arising
1      Heating problems: The exterior valve is causing an intermittent problem-the UPSO trips and the boiler switches itself off. A new valve is needed, at roughly £150. During the meeting there was an intermittent loud noise from the boiler. Ray Warden from SR Plumbing will be asked to do the repairs, but Mike will also contact Calor to see if we have any comeback for these problems.
2      Gas cylinder enclosure: Cost is £645.08 incl. VAT, they come constructed, will protect the cylinders and valve and provide appropriate ventilation and security. After a discussion, it was agreed that Mike would search for a lower price and purchase, then fit.
3      Dog waste bin in car park: Gilly had received a phone call from Steve Mason, SHDC. They will only supply for free if SHDC owns the car park. The car park belongs to the hall. It would be our responsibility to empty the bin. It was decided not to go ahead, Gilly to contact SHDC.

Correspondence
1 CCD Village Green.
2 SHDC food safety self-assessment questionnaire: As we do not usually prepare food and are considered a low risk for hygiene safety, we only have to fill out parts of the form. Gilly to complete.
On checking the first aid box, she found that it was broken, only half full and much of the contents out of date. She will purchase a new one.
The final question was about infestations. As we have recently found that we have cluster flies, Gilly had researched eradication methods, having had the same problem on her own property. Many of the committee were concerned about the use of chemicals in the hall, so Carol agreed to reasearch further for environmentally friendly products.

Book-keeper’s report
Keith tabled the accounts, which showed a healthy balance. He gave some figures re electricity usage, but felt it was too soon to make a judgement as to whether installing new double-glazed windows and a new boiler was having an effect on reducing our consumption.

Parish Council report
Highways: Concerns continue about the state of our roads, especially after this cold winter. Grit bins have been placed around the Parish. The Lengthsman service is now poor. County Highways have been contacted.
Playpark: A meeting is to be held with Holne Church Charity Trustees.
Affordable Housing: the next meeting is on March 17th.
Annual Parish Meeting: to be held on 28th April with Liam Reading, SHDC Housing Manager, as guest speaker.

Booking Clerk’s Report
Hall bookings very healthy. Margie had had a recent enqiry about a group wishing to hire the whole car park, on a weekend when we had another booking. It was agreed that if there were further enquiries of this nature, a group could be charged the cost of hiring the hall, provided there were no other bookings.
Margie had been concerned recently when her phone was bombarded by the press, following an incident in the village (other Parishioners were also contacted). This highlighted the problem of having her phone number in the public domain.

Representatives’ Reports
Whist: going well.
Garden Group: monthly outings would be starting up again.
Coffee Morning: numbers still low.
Community Group: There had been a good meeting in February, despite a heating problem. The meeting for March 10th is a talk about the history of ‘letterboxing’.
Fete: A meeting was held last Friday with a very positive outcome and many offers of help. Peter Bellamy joined the committee. Fete day is Saturday August 14th.
PCC: There is to be a walk for Sport Relief at 5.30pm on Sunday 21st  March. It starts at the church and finishes at the pub.

Hall maintenance: the moss is bad on the back path and wall. Mike will jet wash and check future deterioration. He will also put up the notice board in the hall and check the damp patch in the corner. The carpark wall is to be done once the weather improves.

Curtains: Liz Flint is prepared to do a fund raising event to help pay for new curtains. To be duscussed at next meeting.

Plant sale on May 8th: Gilly will advertise in Parish Link and website, as well as making posters and emailing Peter about the raffle. Gilly and Yvonne gave apalogies for the actual day, but will do what they can before hand. Brenda and Carol will be making mushroom logs and  will purchase some plants, everyone else to grow what they can and help on the day. There will be a raffle, plants, produce and refreshments, entry fee 50p. Someone will need to organise the produce stall.

Gilly’s absence for May and June, returning July 3rd: Yvonne agreed to take over secretarial duties in her absence. Gilly will have May agenda’s and material for the AGM completed before she goes away.
